Corporate Accommodation in Hanoi: A Booking Brief That Saves Time

A corporate accommodation request becomes easier to quote when it separates confirmed requirements from preferences. Send one concise brief covering who will stay, the exact nights and what the company needs for approval. That avoids a chain of messages in which the room, dates or commercial conditions change without everyone noticing.

Use one comparable corporate brief

Send dates, occupants, category or layout needs, essential features, invoicing requirements and the approving contact together. Ask suppliers to quote against that same brief. This makes differences in inclusions and terms visible, rather than comparing an incomplete monthly headline with a fully specified short-stay offer. Keep the final guest instructions separate from the internal purchase discussion.

State the stay clearly

Give the arrival and departure dates, number of guests and preferred apartment category or layout. Specify if different colleagues arrive on different days. Do not assume a reservation for one person permits substitution or extra occupants without notifying the property.

Include the expected local arrival time and whether access at an unusual hour is essential. If the itinerary is not final, label the dates as provisional rather than asking for a confirmed booking based on uncertainty.

List the essential requirements

Describe bed arrangements, mobility needs, workspace and any services required for the stay. Ask for confirmation of each essential item. Keep preferences separate so the property can offer an alternative without disguising a mismatch.

If the company needs an invoice, ask what can be issued, which entity issues it and which information is required. Do not assume that every accommodation quote or payment receipt is the tax document your finance team needs.

Request a comparable offer

Ask for the full amount, currency, inclusions, payment schedule and current change, cancellation and no-show terms. For a longer assignment, request the treatment of utilities, housekeeping and other potentially separate charges.

If you are comparing several offers, use the same dates, guest count and service scope. A headline monthly rate and a fully inclusive short-stay total may not represent the same product.

Keep approval and guest communication aligned

Name the person who approves the booking and the person who will actually stay. Agree how changes will be authorised and confirmed. Share only the personal information needed through the accommodation's appropriate channel; avoid copying identity documents into a broad office email chain.

Before travel, make sure the guest has the final address, arrival instructions and current reservation details. An internal purchase approval is separate from the property's confirmation of the stay.

For AN Residence, send a corporate stay enquiry with this brief. Ask the team to confirm availability, required documents and terms. Confirm any required corporate or invoicing arrangement in the offer.
