Preparing a Hanoi Apartment Stay for a Visiting Colleague
Booking accommodation for a visiting colleague involves two different people: the person arranging the stay and the person using it. Keep their responsibilities clear so the guest receives the right information and the property knows who may authorise changes.
Create two short records
The booker needs the offer, approval and payment responsibilities. The travelling colleague needs the final dates, address, entrance, access time and contact. Keep both current when anything changes. Sending an internal approval alone leaves the guest without an arrival plan, while forwarding a long negotiation can obscure which version was finally accepted.
Gather the stay requirements once
Confirm exact nights, guest count, arrival details and the apartment features the colleague needs. Ask about preferences privately where appropriate; do not turn personal needs into a widely circulated office discussion.
Mark uncertain details clearly. If the flight is not booked, give an approximate arrival as provisional rather than presenting it as a confirmed access arrangement.
Separate approval from confirmation
An internal budget approval does not mean the accommodation has reserved the room. Request the property's actual offer, review the category and terms, and obtain the final reservation confirmation through the agreed process.
Clarify who pays, what the payment covers and what document the company requires. Ask about any invoice needs before payment so expectations can be checked while there is time to respond.
Give the guest a usable arrival brief
Share the full property address, entrance instructions, booking reference if issued, expected access time and contact method. Include the current version of the stay details, not a long email chain with conflicting dates.
If someone is collecting the guest, confirm the transport separately. The accommodation reservation alone does not identify an airport meeting point or book a vehicle.
Agree how changes will work
Name the person who can approve extra nights, a category change or a revised guest count. Ask the property how those changes will be confirmed and whether the actual rate conditions affect them.
Keep the colleague informed when any material detail changes. A coordinator's conversation with the property should not leave the guest travelling with an obsolete confirmation.
For AN Residence, send a clear colleague-stay enquiry with the booking contact and guest requirements. Use the appropriate private channel for personal details, and ask for the actual offer and arrival arrangement in writing.
